r/googlesheets on Reddit: Making a Dynamic School Year Calendar for Planning
August 25, 2022 -

I want to take a typical dynamic calendar in sheets that will autofill the days with my plans.

My idea is that I have a secondary tab or spreadsheet with the school days in a column that will then fill the contents of the days on the calendar.

While the structure of the school calendar changes year to year (holidays, conferences, snow days, etc. can fall on different dates) the basic order of how I go through the content remains in a similar order.

But teaching is also dynamic, and some days I might do something different and push things ahead or back in the schedule. It is somewhat tedious copy-pasting the days on the calendar itself, so I want to be able to simply shift the cells up/down in a column in one maneuver.

What I've tried

I started by making a column from 1 to 180, my thought was that each of these would represent the school day number (the first day would be 1). Weekends don't count since we don't have school then.

In the next column I put the plan/content for the day. Simple enough.

My problem is I don't have the skills to formulate the dynamic calendar to:

  1. assign the school day number to the weekdays in a given month

  2. extend this numbering system to the next month

  3. create a condition for filling the day with the plan/content based on that number

Now there might be a vastly easier way to go about this. Ideally I could have a tab where I have my content, and another area where I can specify the dates of weekdays where we have no school (winter break, conferences, snow days) that would allow the numbering of school days to skip these dates so they don't fill with anything other that *insert reason for no school*.

I've tried searching online, but there is just a plethora of resources showing how to make the calendar itself, but not this extra step I want to take.

Request

I am seeking advice, resources, or someone who feels that this is something they could solve themselves. Maybe something like this is already out there and I'm just struggling to find it.

The Data

I have a view only link to the current Calendar spreadsheet I've been using and tried editing to autofill with little success.

I also tried using the tableit.net to format the first 3 months of school. I'll paste it here:
