Personally, I've flip flopped a number of times :) (here's a bit of a dump!) I prefer Google. Microsoft Sharepoint may have more complex and granular permissions.. but it is also difficult to manage - especially for small companies, and it's quite easy to mess them up, and end up with things more open than they should be. Most Microsoft people would probably recommend using Teams to manage the permissions.. i.e. create Teams and channels, private channels - permissions will be based on this. I find Microsoft OneDrive sync unreliable in my experience, and I also find it difficult to setup. I.e. You can start syncing folders from cloud, and then turn it off, and it leaves the folder and files there on your local machine.. this is confusing and can lead to duplications and problems like accidental deletions (in my experience). Be aware with Microsoft, there can be quite a lot under the hood in the 365 configuration that you should configure from security perspective. Microsoft shared mailboxes are nice.. 50GB free.. nice and easy to offboard someone, just convert them to shared mailbox and keep their stuff. I prefer Google, I'm find it less friction to do anything in Google. I don't want to install fat applications (it's 2023). The web versions of Microsoft are (IMHO) vastly inferior to Google (they are getting better, but they are not as good). I feel the collaboration on documents is better in Google - working together is easier and better. Be careful of Google business starter - you miss custom branding on templates and forms. Be careful of compatibility with Microsoft formats.. Google can open most of them, but it can struggle with formatting.. I've had to begrudgingly run Office for a few purposes. I do wish there was a simple shared mailbox like 365, but Google does have Groups, and it is getting quite good.. i.e. it's better in the fact that you can have a shared view for a business function, assign emails, share labels etc. Very handy for sales, admin, support type functions without adding any 3rd party products. I think Google anti spam is better.. I keep getting the same crap turning up in my inbox.. given that most of these junk things probably originate from Microsoft or Google.. I don't think we should have to pay for additional protection. (I have an example, where I have some kind of marketing vendor - slipping through a new email - slight variation on username or domain every few days) - currently in Microsoft - reported, blocked multiple times.. their systems have not been smart enough to capture this one.. yet they are quite good at generating false positives and quarantining those :) Overall, I feel like Google has more coherent admin portal, it's essentially one vs multiple MS places. I also feel like Microsoft puts a lot of security burden on customers - i.e. pay for these add ons etc.. make sure you configure and monitor things.. and it's harder to do that. More and more people are familiar with Google these days (depending on your workforce and demographic)... it's not as big a deal as it used to be. (trying to pry Office out of people's cold dead hands ;) Using something like Google, could even let you use ChromeOS, and get rid of a lot of overhead of running Windows desktop operating systems (and a lot of attack vectors as well). The account will not be downgraded to a "personal gmail account". Like RealFov says, you can instead activate Cloud Identity Free (you add it as a subscription in Billing) and then the accounts will stay alive, but with less features. It's free, like the name says. More on reddit.com
