r/sysadmin on Reddit: Microsoft's Power tools. Worth investing time learning?
April 6, 2023 -

Friday my boss told me to start reviewing Power App and Power Automate to see how we can use it in our environment. I thought OK good for Monday, Well I'm bored today so I'm laying here watching a few YT videos on the topic and thinking this is just a web builder with the connectors built in. Am I missing something? Or maybe I'm looking at it as a developer instead of a sysadmin that feels it would be just as easy to write this in a proper coding environment.

Well you're in the sysadmin forum here, but the answer is a resounding yes. With regards to power automate, not only is it self documenting, great for even level one techs to copy and create their own, they are a very integrated way to do lots of things. Power bi is the powerhouse I wish I could do better but I've got Coworkers who have setup whole systems there to track everything from call centre drill down dashboards for department heads, that show manufacturing automation line efficiency from ingesting the pcs automation data, to financial report automation by integrations with api services like zero and erp software to again drill down costs or revenues to the individual sales and spillages. Like think of this niche use case: a customer won't stop with scan to file, but has no more file shares since sharepoint online. I setup scan to email with a specific email alias like ' [email protected] " which is just another alias for the same [email protected] . I then create a power automate flow that watches the mailbox for an email to come in with that address. It then takes that email strips the attachment out and puts it into the document library for that specific accounting scans folder. Same thing with new users. Create a Ms form which requires users to access it only a member of x security firm. Add in the whole new user everything, name role title, security group, roles, phone number, etc. The form goes to power automate and gets processed, and then your user is made, emails sent out back to everyone. You should be able to even create them in other api endpoints like maybe your VoIP system or hr platforms. There is a very strong value of it if you're heavily Microsoft. It's actually excellent for staff workflows and automation. Email processing, form automation is just the beginning. Not just for sysadmin tasks but every time you see someone say 'we have to transform all this data' then generally you can use some power tools for that. Lots of accounting and finance type work can be fully automated. If you're not Ms centric then yeah nah there's other ways. It's generally a very pretty wrapper lowering a barrier for entry which means it's kind of easy to support and maintain and agile to change. Again I'm not a wiz but here's my concluding statement. It's designed not to be used by developers. It's designed for professionals, from disciplines outside of IT and then as a sysadmin you should know how to use and improve it.

It is low code/no code. Which means that what you build should be easier to understand for a non-coder. For non-coders it should be possible to automate simple tasks like 'when I recieve an email with an attachment from XYZ -> save attachment to folder ABC in onedrive or sharepoint with the name DEF-date'. In the end, you can make it as complex as you want. If you'll start with power automate, please consider using Logic Apps in Azure instead as it is cheaper and not user based and thus better for maintenance or non-personal-use.
