Good morning, Daly75.

Welcome to the Microsoft Community Forum. Please accept our warmest regards and sincerest hope that all is well.

Based on the description provided above, you would like to ensure that your label prints correctly in Word and is scannable by UPS or the post office.

When printing mailing labels with barcodes for UPS or other priority shipments, it’s essential to ensure that the label size and formatting meet the requirements for successful scanning. Also, this issue may be caused by printer or Word settings that need to be changed. So, let's work together as a team to get to the bottom of this. But to better assist you I need to ask:

  1. Are you using a laser printer? Or an inkjet printer? Perhaps a thermal printer?
  2. If you're not sure, can you provide me the brand and model number of your printer instead?
  3. What version of Word are you using? I specifically need the Product name and Version number as highlighted in the guide and photo below.

https://support.microsoft.com/en-us/office/about-office-what-version-of-office-am-i-using-932788b8-a3ce-44bf-bb09-e334518b8b19

  1. Have you installed a barcode scanner app on your mobile device and used that to test your printed barcodes? Testing this way is one method to test the labels you print. If app can't read it, you'll need to make adjustments in both the printer and the Word settings.
  2. And speaking of labels and barcodes they are all printed in black and white, right? No other colors are involved?

I appreciate your patience and understanding as we work to resolve this issue.

Hope to hear from you soon.

Respectfully,

Glenn Rue

Does it matter what size you print a shipping label?

They are flexible. Most labels are about 8 x 5, I've used labels much smaller for small packets.

November 20, 2020 - All of a sudden, my Acrobat started printing FedEx, UPS, and USPS labels too small. When I create shipping labels online with the respective shipping company, the pdf file I receive when pulled up in acrobat looks and prints reduced in size. I don't know why it only affects these types of labels.

Hi friends! Currently when trying to print a label on a 4x6 label printer it comes out super small. Basically the scale you see of shipping label to paper, is the same scale that comes out printed. I’ve tried changing a lot of settings but can’t figure it out. Was curious if people had any advice? Fit to paper and fit to printable area don’t do anything

Shipping Label Sizes Guide: Standard Dimensions & Carrier Requirements
November 7, 2025 - This size is optimized for barcode scanners, fits neatly on most parcel boxes, and works perfectly with thermal label printers. It’s recognized across USPS, UPS, FedEx, DHL, Royal Mail, and major eCommerce platforms like Amazon and Shopify. Although 4×6 is the industry default, there are a few other common label sizes you might encounter. For example, smaller shipping label sizes, such as 2×3 inches or 2×4 inches, are ideal for boutique or lightweight parcels.
