Best Practices: Hybrid Meetings With Zoom | Digital Learning & Innovation
Note: If you do not want to display the Zoom Participants on the Projector, you could always switch the views where the Presenter View is zoom participants and chat, and both the Projector View and the Zoom View is the shared screen content. Presenters should be connected to the projector and to the room audio, if applicable. The presenter does not necessarily need to be the one actually presenting for the meeting, this just refers to the person who is managing and sharing the meeting content to the in person and remote attendees.

r/Zoom on Reddit: Hybrid In person / Zoom meetings
February 3, 2025 -
Our association board (12 members) meet in person 7 times a year and remote via Zoom 5 times a year. When everyone is remote, no problem. But we have figured out an effective way to enable Zoom video when 2/3s of the group is in person and 1/3 are remote.
Our meeting facility is borrowed the once a month we use it. No technology there except internet. We meet around a long, rectangular table though we have some flexibility in it's set up.
Currently, we do Zoom audio for the remote folks. That's OK but just OK. Looking for any suggestions that might allow us video at reasonable cost. I don't want 8 people in the room signing on to laptops with Zoom.
Any suggestions?

Maybe too simplistic but what about a laptop connected to a large monitor or TV, or a projector projecting onto a white wall? New monitors and TVs are cheap enough these days that it could be a justifiable purchase and easy enough to lug around the trunk of a car and then set up at the end of a long table. The Zoom view settings could show active speaker only, so that the in-person attendees get a decent visual of the currently speaking virtual attendee. In my opinion, no need for them to see all passive participants all the time. On modern Apple devices, you could set an iPhone as the (wireless) webcam, moving it as needed until you get a good vantage point for the virtual attendees. With two-thirds joining in-person, I think the dynamic is one where you should lean towards focusing on making it a good setup for the people physically there and get a “good enough” setup for those attending online.

BYOD Video Bars could be your answer. Logitech, Yealink, DTEN all make reasonably priced offers. You connect them to a Display and then connect 1 laptop. The Bar will use your Laptop to run the meeting, and your Laptop will use the Camera, Speakers and Mics in the Bar. Then your Display will show you the other participants in the Zoom call. If you don't have a display, There are low cost HDTVs at Walmart for like $400

It’s an inexpensive way to get the “Second Camera”. Of course, with a second camera going through the video switch, you get the Zoom “Speaker View” working properly. So I typically set this up and call it “MeetingCAM”. Typically it is just a static view of the overall meeting room for the benefit of the Zoom participants.

For the simplest version of a hybrid meeting, you just need a cell phone. Set the device in front of the room, keep the in-person members as close to the device as possible for better audio, and make sure device volume is up so you can hear the zoom members. This set up isn’t ideal for large ...
